Job Description
POSITION TITLE: Manager Pharmacy Operations

DEPARTMENT:Pharmacy

GENERAL STATEMENT OF DUTIES AND RESPONSIBILITIES: Reports to the Director of Pharmacy and is responsible for the management of department operations including the distributive and technological aspects of the medication use system and the supervision of personnel in assigned area for the purpose of providing quality patient-focused pharmacy services.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Coordinates and conducts where appropriate, formal training of pharmacists and residents and develops and implements formal course work and testing to assess outcome. Oversees the development, implementation, and assessment of programs established for the purpose of orientation and training of technicians and pharmacy student interns.

Participates and collaborates with the Clinical Manager the development of professional goals and career development of pharmacists in assigned area.

Collaborates with the Director and Clinical Manager to establish a performance management program to monitor and recognize performance as well as to develop recognition rewards appropriate to targets met or exceeded.

Responsible for management of operational systems maximizing utilization of personnel and financial resources facilitating attainment of established department and program outcomes.

Oversees scheduling to maximizing utilization of personnel while meeting established service and program outcomes.

Develops, approves and implements department policies and procedures. Develops minimum competency criteria, and develops and implements work load statistics requiring a professional level of mathematics, scientific and management principals as well as the integration and interpretation of data as a means of productivity enhancement.

Integrates planning and problem solving with hospital nurse managers and operational managers influencing short and long-term success of various mutually shared projects as well as finding solutions to difficult problems.

Participates in assigned special administrative projects, committee work, chairing these committees whenever possible, and participating in administrative functions, responsibilities and meetings in and outside the department and hospital.

Oversees pharmacy security and narcotic control procedures in accordance with federal and state laws and regulations for the entire institution, and develops policies and procedures as promulgated legal changes require or system changes necessitate.

Integrates and works collaboratively with the Director and Clinical Manager in the development, maintenance, or restructuring of operational system architecture as well as solving of system problems.

Guarantees compliance of all aspects of operations with regulators such as the JCAHO and OSHA, and where appropriate with national professional organizations including ASHP.

Oversees negotiation for the purchase of supplies, and reviews and assesses fiscal controls of inventories through formulary management, strict control of main and decentralized satellite inventories and the establishment of inventory par levels to affect the most timely availability of medications and supplies for patients within the boundaries of prudent budgetary management.

Develops, implements, reviews and updates department quality assurance program including development of indicators and criteria with the hospital quality assurance program and most recent requirements, mandates and interpretations of the JCAHO as they apply to assigned area.

Responsible for information systems and other technology for the purpose of facilitating the availability and function of systems requires to provide quality patient care.

Oversees the maintenance of the department information system for the purpose of maximizing function and application, constantly assessing breadth of function, and guaranteeing that the system meets user needs.

Oversees the strategic planning and utilization of other technologies required to most effectively and efficiently provide service.

Strive for practice excellence through continuous professional development.

Maintains professional competence through continuing education as required by the Commonwealth of Massachusetts, the departments, and standards established by the American Society of Hospital Pharmacists so as to maintain the highest level of competency and to establish oneself as a role model in hospital pharmacy.

Broadens and strengthens business and management skills by participating in continuing educational seminars or formal academic programs.

Responsible for the fiscal management of the department for the purpose of effecting creative utilization of scarce resources.

Develops departmental budget within designated deadlines according to budgetary procedures.

Investigates and suggests alternatives to the established budget depending on shifting demands of resources.

Utilizes financial resources within established budget.

Effects unanticipated cost savings or revenue generation through innovative methods within the department operation.

Responsible for communication within the department to ensure information is shared for effective operations.

Communicates organizational mission, goals, and values to employees.

Confers with staff to explain program and individual responsibilities.

Seeks out, understands, listens and conveys clearly, information as needed in written and verbal forms.

Investigates and responds appropriately to all complaints and takes effective corrective action when necessary.

Demonstrates ability to identify and resolve interpersonal or professional conflicts when dealing with members of the organization.

Consistently demonstrates tact, courtesy and positive attitude in communication and interaction with other employees, third party payer representatives, physicians and patients. At all times presents the department and the hospital in a position manner.

Utilizes hospital's Values as the basis for decision making and to facilitate the division's hospital mission.

Follows established hospital infection control and safety procedures.

OTHER DUTIES: Performs other duties as needed.

QUALIFICATIONS AND ENTRANCE REQUIREMENTS: Work requires a Bachelor’s Degree in Pharmacy or Doctor of Pharmacy Degree, and completion of an accredited residency in hospital pharmacy. A Master’s Degree in Pharmacy or Business Administration is preferred.

Work requires licensure to practice pharmacy in the state of Massachusetts.

Work requires a comprehensive knowledge and understanding of contemporary hospital pharmacy practice sufficient to effectively manage all aspects of department operations. This includes, but should not be limited to, strong clinical experience, management and supervision of personnel with a minimum of four years of operational management in a comparable practice site, financial management, and evidence of regional and national visibility in the form of participation and service o organizations, publishing, and lecturing.

Work requires a high degree of analytical ability in mathematics and scientific and management principals necessary to develop, review, and modify procedures and programs.
